Create one transportation sheet with names, mobile numbers, exact addresses, ready times, must-arrive times, passenger counts, luggage, and the person allowed to approve changes. Keep airport arrivals separate from hotel-to-venue rides and distinguish scheduled flight landing from passenger-ready pickup. Include photo stops and private-home addresses only when actually confirmed. Freeze a final version with the transportation provider, planner, and one day-of contact; uncontrolled text-message revisions are a common way for a correct itinerary to become ambiguous.
Check each venue's arrival instructions and whether a private road, loading area, gate, or parking rule affects access. Downtown traffic estimates can change with games, concerts, construction, and permitted events, while rural or suburban venues may have different entrance and cellular-service considerations. Build a buffer from the real route and venue process rather than copying a generic number from another wedding. The planner and venue remain the authority for the event timeline and site rules.
